Quotes

Learn how to create, view, edit, and manage Quotes and Quote Requests.

Quotes are used to negotiate custom pricing and terms before finalizing a sale. A finalized Quote is legally binding, and it can be converted into an Order once accepted by the Buyer.

Only users in Teams with appropriate permissions can view and manage Quotes. Permissions are managed by the Administrators Team in your Organization.

The usual workflow is as follows:

  1. The Buyer adds Product Variants to a Cart, and then requests a Quote from the Seller.

  2. The Buyer sends the request for a Quote to the Seller.

  3. As a Seller, you can view the incoming Quote request and decide whether to accept or reject it. If accepted, you can prepare and finalize the Quote from the Merchant Center.

    After a Quote is finalized by the Seller, no further changes are possible. At this point, the Seller must inform the Buyer about the new Quote. To do this, a Seller can implement a Subscription to listen for this change and notify the Buyer.
  4. The Buyer is notified about the Quote, and they can either accept, reject, or renegotiate the Quote. An accepted Quote is then turned into an Order.

Create a Quote

For each Quote Request, you can create only one Quote.

To create a Quote, do the following:

  1. In the Merchant Center main menu, go to Orders > Quotes and click the Quote Requests tab.
  2. Select a Quote Request with the status as New Request, and then click Accept.

    Rejecting a Quote Request ends the negotiation, and no further action is possible.

  3. In the dialog that appears, click Create quote.
  4. Choose any one of the following options:

    • If you want to edit the terms of the Quote, then see Edit a Quote.
    • If you want to discard your changes and create a new Quote draft instead, then click Start a new draft.
    • If you agree to the terms of the Quote, click Save > Finalize quote and confirm your request.

      After a Quote is finalized, no further changes are possible. At this point, you can send the new Quote to the Buyer.

Manage Quotes

Renegotiate a Quote

  1. In the Merchant Center main menu, go to Orders > Quotes and click the Final Quotes tab.
  2. Click a Quote with the status as Renegotiation Requested.
  3. Review the Quote and comments left by the Buyer, and then click Work on renegotiation. At this point, you can edit your Quote. You can add Line Items, adjust quantities, apply Discounts, and add a note for the Buyer.
    To view the original renegotiation request from the Buyer, click Go to the renegotiation request.
  4. After making the necessary changes, click Finalize quote and confirm your request.
    After you finalize the Quote, its status changes to Renegotiation Addressed. You can then send the Quote back to the Buyer for review. No further changes to the Quote are possible at this stage.

Edit a Quote

To edit a Quote, open the Create quote pane either by selecting a draft Quote or by accepting a Quote Request.
  1. In the Create quote pane, you can optionally do the following:
    • In the Notes section, you can add a note for the Buyer.
    • In the Items and discount section, you can add Line Items, adjust quantities, and select the type of Discount to be applied:
      • quote level discount: adds a percentage-based Discount for the entire Cart.
      • line item level discount: adds either an absolute Discount amount or a relative Discount for the Line Items. Any resulting fractions of a cent are rounded down in the Buyer's favor. For example, a calculated discount of $2.575 becomes $2.57.
        The Discount is calculated on the net price (without tax) of the Line Item.

      Applying a Discount overwrites any existing Cart Discount from the Quote list and removes gift Line Items added with the Cart Discount.

    • In the Shipping info section, you can apply either a relative or absolute Discount on the Shipping Method.
      The displayed shipping cost can include taxes depending on the Tax Category configured for the Products. A breakdown of the estimated taxes is displayed in the Quote summary section.
    • In the Expiration date section, you can add an expiration date for the Quote.
    • In the Custom fields section, you can add Custom Fields to the Quote.
  2. To finish, click Finalize quote. A confirmation dialog appears with the following options:
    • Do later: saves the Quote draft. You can access the draft from the Draft Quotes tab.
    • Finalize quote: locks the Quote from further changes. You can implement a Subscription to listen for this change and send the new Quote to the Buyer.

View details of a finalized Quote

To view the details of a finalized Quote, on the Final Quotes tab, select a Quote with the status as Quote Finalized.
Quotes are assigned one of the following statuses on the Final Quotes tab:

RejectedThe Buyer has rejected the terms of the Quote.
Renegotiation RequestedThe Buyer has requested to renegotiate the Quote.
Quote FinalizedThe Seller has finalized the Quote, and no further changes are possible. The Seller can now send the Quote to the Buyer for review.
Renegotiation AddressedThe Seller has finalized a new Quote, and no further changes are possible. The Seller can now send the renegotiated Quote to the Buyer for review.
WithdrawnThe Seller has withdrawn the Quote before the Buyer could accept it.

View details of a Draft Quote

On the Draft Quotes tab, select the required Draft Quote to view its details. Draft Quotes are a list of editable Quotes that are not finalized.

If you open a Quote draft linked to multiple renegotiation requests, you will be prompted to choose the Quote that you want to modify.

View Quote Requests

On the Quote Requests tab, select the required Quote Request to view its details. Quote Requests can have one of the following statuses:

Search for Quotes and Quote Requests

Use the search box to find Quotes by either entering a keyword or filtering by common fields.

To search for Quotes, do the following:

  1. In the Merchant Center main menu, go to Quotes.
  2. Select either Company or Submitted by as the search criterion.
    • For Company, only the Quotes and Quote Requests created after August 30, 2024 are shown.
    • For Submitted by, only the Quotes and Quote Requests created after September 4, 2024 are shown.
  3. In the search bar, enter a Company's name or the person's name who has submitted the Quote.
  4. Optional: Click Filters to efficiently refine the search results by choosing specific criteria.
